We receive the request and confirm the call parameters: vessel/IMO, ETA/ETD, port/area, terminal context, and the required scope (agency, OPA, husbandry, spares, etc.). We also align the preferred communication and escalation line for 24/7 operations.
We prepare a structured PDA based on call specifics and current port/terminal conditions, making scope and assumptions explicit. The PDA is aligned with the Principal before execution to ensure clarity on services, expected disbursements, and document flow.
We receive and confirm the formal appointment/nomination and establish single-point accountability as General Agent. Local attendance is appointed from our vetted network in line with the call profile and operational requirements.
We coordinate the prefunding sequence and timing between parties to ensure uninterrupted port call execution. Funding is arranged against the agreed PDA, with a structured and traceable documentation flow throughout.
We coordinate pre-arrival formalities and operational readiness: authorities interface, terminal requirements, port dues/charges coverage coordination, and service ordering (pilotage, towage, mooring, provisions, waste, etc.) as required by the call.
We manage the call in real time through the local agent and service providers, maintaining continuous coordination with all parties. Updates are event-based and operationally relevant, with a clear escalation path for time-critical decisions.
We compile the Final DA with supporting confirmations customary for port disbursements, reconcile against the PDA, and align the close-out with the Principal. Any variances are explained and handled through a structured clarification process.
We coordinate reconciliation and settlement of the Final DA balance between the involved parties, ensuring the close-out is completed without operational loose ends. The call is formally closed once settlement coordination and documentation flow are finalized.
